How to Import Excel Data from LinkedIn and Other ATS Systems into Tobu

This article explains how to mass upload candidates into Tobu from Excel sheets, including data from LinkedIn and other recruitment systems. You will learn how to use the Mass Upload Candidate Template, match column headings, and ensure existing candidate profiles are updated automatically.

Step 1: Download the Mass Upload Template

  1. Navigate to the Upload Candidates section.
  2. At the bottom, click Mass Upload Candidates Template.
  3. This will download an Excel file containing all column headings required by Tobu.

All available columns in the template are:

Step 2: Populate the Template

  • Fill in your candidate data in the relevant columns.
  • Ensure column headings match exactly — do not rename them.
  • For Resume Source, enter where the candidate data came from (e.g., LinkedIn, Indeed, Recruitment Agency Name).
  • Optional: Populate custom fields (if your company has added them).
    • Custom fields are unique to your organization and can be added only once by the Tobu team.
    • Once added, they cannot be deleted, but more can be added in the future.

Step 3: Upload the Data into Tobu

  1. In the Candidate List view, click Add (see second image).
  2. In the Upload Candidates popup:
    1. Select at least one Source.
    2. Click Upload Resumes.
    3. Hold Shift to select multiple files (doc, docx, pdf, rtf) — max 5 MB per file.
  3. While this upload section is normally used for adding raw resume files, it can also be used to upload the Excel sheet you have just populated.
  4. We recommend uploading Excel sheets with up to 10,000 entries in one shot.
  5. If you have more than 10,000 entries, split your data into multiple spreadsheets and upload them separately.
  6. If you want Tobu to detect resume files automatically, check Auto Identify Resumes.

Step 4: How Tobu Matches and Updates Candidates

  • If the candidate already exists in your database, Tobu will match and update the profile.
  • Matching happens in this order:
  1. Email
  2. Phone Number
  3. Filename (if no email or phone number is provided)

Step 5: Tips for Importing from Other Recruitment Systems or ATS

  • Export your data into Excel, match it to Tobu’s template, and upload.
  • Populate custom fields if you want to mass update specific organization-related information.
  • This method is ideal for bulk updates or importing legacy data.
