Extracting Resumes from Outlook with Tobu

Tobu makes it simple to extract resumes from your Outlook 365 email account, turning your inbox into a searchable resume database.

Important Note on Outlook Versions

This guide specifically applies to users with Outlook 365 accounts (Office 365 Business or Personal). If you're using the standalone Outlook desktop app with a third-party email server, you’ll need a separate setup.

How to Identify Your Outlook Type

  • If you log in at [1](https://outlook.com) and access your email there, you’re using Outlook 365.
  • If you only use the desktop app with custom server settings, refer to our custom IMAP integration guide.

Steps to Connect Outlook 365 to Tobu

  1. Log into your Tobu account.
  2. Navigate to Resume Sources and choose Add Email Account.
  3. Select Outlook/Office365 from the list.
  4. Log in using your Microsoft credentials.
  5. Authorize read-only access to your inbox.

Once completed, Tobu begins scanning your Outlook inbox for resumes.

Resume Detection and Parsing

  • Tobu scans your email history to extract existing resumes.
  • Going forward, Tobu checks your inbox every few minutes for new resumes.
  • Resumes are parsed into searchable fields such as name, phone number, email, experience, and location.

Sync Timing

  • Historical extraction may take between 30 minutes to 10 hours depending on volume.
  • New resumes generally sync into Tobu within 2 to 10 minutes on active inboxes.

Maintaining Connection

  • If your Outlook session expires or logs you out, Tobu will notify you by email.
  • Simply re-authenticate to resume syncing — your data will not be lost.

Multiple Accounts and Deduplication

  • You can link multiple Outlook accounts to Tobu.
  • Tobu automatically removes duplicates — only one version of each resume is stored.
