Bulk Downloading Search Results in Tobu

This article explains how to download multiple resume search results in Tobu, specifically focusing on the bulk export feature that allows you to extract large datasets in Excel format.

Overview

Tobu allows you to run detailed candidate searches using job titles, skills, locations, and experience levels. Once your search results are generated, you can export the data for offline use or for uploading into your ATS or internal recruitment systems.

There are three ways to export data in Tobu: - Exporting an individual resume - Exporting bulk search results (covered in this article) - Exporting your entire resume database

1. Ensure Permissions

Before using the bulk download feature: - Ensure you have appropriate permissions to export resumes. - Admins can export by default. Regular users may need access rights granted by their company admin under User Management.

2. Perform Your Search

- Use either the Simple or Advanced Resume Search options to filter candidates. - You can search by:

 - Job Title (e.g., Java Developer)
 - Skills (e.g., Spring, Microservices)
 - Location (e.g., New York)
 - Years of Experience (e.g., 4–7 years)

Once your filters are applied, Tobu will display a ranked list of matching candidates.

3. Export Options

When you're ready to export: - Click the **Export** button available above the search results panel. - You’ll be presented with two options:

 - **Export this page**: Downloads the 25 resumes currently visible in the interface.
 - **Bulk Export**: Allows you to specify the number of resumes (up to 1,000) to be downloaded in a single extract.

For example: - If you found 643 matching resumes, you can enter 643 and Tobu will prepare a bulk extract of all those candidates. - If you want to limit the export to the top 150 matches based on relevance, just enter "150."

4. Downloading Your Extract

- For small exports (up to 25), the Excel file downloads instantly. - For larger requests (more than 25 resumes):

 - Tobu queues the extract in the background.
 - You’ll receive a notification once the extract is ready.
 - Navigate to the **Extracts** tab on the left menu.
 - Download your file directly from there.

5. Format of the Extract

- The file is provided in Excel format. - Each row contains parsed data for a single candidate, including:

 - Name, Email, Phone
 - Job Title
 - Skills
 - Location
 - Years of Experience
 - Source (Email/Desktop)
 - Link to Resume (optional)

Notes

- Tobu supports up to 1,000 records per extract. - There's no auto-upgrade. If you hit your resume limit, you'll be prompted before syncing more resumes or making another extract. - Data privacy is maintained; your extracts are private to your account.
