Email Sync Frequency and Intervals in Tobu
Tobu is designed to continuously sync your email inbox to keep your resume database current. This article explains how Tobu handles syncing both historical and new resumes, and what to expect in terms of timing and delays.
Historic Sync (Initial Connection)
When you first connect an email account to Tobu, it performs a one-time historic sync to extract all resumes from your past inbox history.
- Time Required: Between 30 minutes to 10 hours
- Factors Influencing Sync Time:
- Total number of resumes in the inbox
- Size and volume of email history
- Number of email accounts linked simultaneously
Typically, if you’re linking a Gmail or Outlook account with up to 2 years of resume traffic, resumes begin appearing in your Tobu dashboard within 1–2 hours. However, in company-wide setups where multiple accounts are linked at once, the process may take longer as data is processed in parallel.
Ongoing Sync (Real-Time Resume Detection)
After the historical sync is complete, Tobu automatically switches to live syncing.
- Resume-heavy inboxes: New resumes typically appear in Tobu within 2 to 10 minutes
- Low-activity inboxes: Sync may occur every 2 to 4 hours
This smart syncing system is designed to optimize resource usage. Email accounts with frequent resume traffic are prioritized with higher sync frequency, while low-activity accounts are checked less often to conserve load.
Continuous Background Sync
Tobu runs sync operations in the background. There’s no manual trigger required.
- All resumes that arrive in your inbox will be automatically picked up
- Resumes will be parsed and indexed in your Tobu dashboard shortly after arrival
If you notice a delay, it’s usually due to low resume volume on that particular email account.
