How Tobu Stores Your Resume Data

Overview

Tobu acts as a private resume vault for your company. Once you link your email and desktop, Tobu automatically identifies resumes, extracts them, and builds a secure searchable database. This ensures that no resume ever gets lost in old emails, cluttered folders, or across multiple user accounts.

What Data is Stored

Tobu stores resumes in two main formats:

  • Raw Resume Files — The original file (PDF, DOC, DOCX, RTF, TXT) uploaded or received via email.
  • Parsed Resume Data — Extracted structured data such as:
    • Candidate name
    • Email and phone
    • Skills, experience, and job history
    • Education details
    • Location

For example, if a candidate sends in a PDF resume via Gmail, Tobu stores the PDF and also parses out the candidate’s skills and years of experience, which you can later filter in searches.

Storage Examples

  • Recruiter A links Gmail → Tobu extracts 20,000 old resumes + stores all incoming resumes.
  • Recruiter B uploads resumes from a shared folder on desktop → 5,000 resumes added into the same private database.
  • The team can now search across both sets without duplication.

Access and Control

  • Centralized Database: All data belongs to your company, not individual inboxes.
  • User Permissions: Admins can grant “Search only,” “Download,” or “Export” rights to team members.
  • Export Options: Resumes can be exported anytime as:
    • A zip file of original resumes
    • An Excel sheet with structured candidate data

Privacy and Ownership

  • Your data is yours alone; Tobu does not share it with anyone.
  • When you discontinue your subscription:
    • You get back all resume data in both zip + Excel format (minimum 6 months subscription for Excel).
    • All data is permanently deleted from Tobu servers afterward.
