Automatic Resume Backups: Frequency and Coverage
Overview
Tobu ensures your resume data is never lost by continuously backing up resumes from email, desktop, and cloud storage. Once connected, Tobu keeps monitoring these sources for new resumes and adds them to your private database.
Backup Frequency
Tobu’s backup schedules vary by source:
- Emails:
- Initial Sync — All historical resumes (can be thousands) are extracted when you first connect your inbox.
- Ongoing Sync — New resumes are detected and extracted every few minutes.
- Example: If a candidate applies at 10:00 AM, their resume will usually appear in your Tobu database by 10:05 AM.
- Desktop:
- Resumes are scanned from folders you specify in the Tobu Desktop Agent.
- Sync happens on-demand — whenever you launch the agent and click "Upload."
- Example: If you copy 200 resumes into your “Resumes” folder and run the agent, Tobu will detect and upload them instantly.
- Cloud Drives (Google Drive, OneDrive, etc.):
- Tobu checks linked folders periodically.
- Sync intervals range from every few minutes to a few hours depending on server load.
- Example: If you save a new resume into a shared Google Drive folder, it will be pulled into Tobu during the next sync cycle.
Coverage
- Unlimited History (Paid Plans): Tobu extracts your complete email inbox history (all old resumes).
- Free Plan Limits: Up to 500 resumes, with 25 extracted daily.
- Desktop + Cloud Integration: Supports bulk uploads and continuous monitoring of specified folders.
Data Safety
- Tobu is GDPR-compliant and audited annually for Gmail security standards.
- Your data is encrypted and accessible only to authorized users in your workspace.
- No data is shared with any third parties.
Example Scenarios
- Recruiter A links Outlook → Tobu extracts 30,000 historical resumes overnight → future resumes are synced every few minutes.
- Recruiter B adds resumes to a "Google Drive" folder → Tobu picks up new uploads from other team members automatically.
- Team C runs the desktop agent every Friday to upload new walk-in resumes collected during the week.
